Important PERA information for Faculty, Researchers, and all Research Administrative Staff
In a few weeks, Purdue University will begin rolling out a major new research tool. It is called PERA – Purdue Excellence in Research Administration system. PERA will automate many processes involved with submitting grant proposals, managing research funding and contracts, and applying to the IACUC, IBC, Export Control, COI/COC, and IRB. Plan now for impacts related to the launch of Purdue’s new electronic research administration (eRA) system.
Purdue Excellence in Research Administration (PERA) will go live on October 7, 2024, for the following modules: Grants, Agreements, and IACUC, replacing Coeus and the Proposal Information Portal (PIP). The other compliance modules will go live at a later date. Researchers should be aware of system cutover impacts on specific research activities – see details below.
Proposal Submissions:
- Proposals due 9/30/2024 – 10/11/2024 – impact of PERA launch: While faculty can continue to work on the scientific portions of the proposal, no changes in proposal budgets will be permitted after 09/27/24 for submissions due between 09/30 – 10/11.
- These submissions must have a final title and final budget with Pre-Award by 09/27/24.
- Proposal documents can continue to be developed after 9/27 within the Proposal Deadline Policy due dates but no changes to the title or budget should be requested.
- Proposals due AFTER 10/11/2024: PIs (Principal Investigator) should complete this form to initiate these submissions rather than using the PIP – which will be decommissioned on 09/13/24. Pre-Award will work with faculty on a plan to begin the work now and complete it within PERA as necessary.
Post Award:
- Impacts to Award Set-Up: To allow for data conversion, Awards will not be entered into SAP between 10/01/24- 10/06/24.
Contracting:
- Unfunded agreements (for example, Non-Disclosure Agreements, Material Transfer Agreements, and Data Use Agreements) needed prior to 10/07/24 should be submitted to SPS Contracting (spscontr@purdue.edu) by 09/16/24 to allow time for processing prior to cutover.
Institutional Animal Care and Use Committee (IACUC):
- The last day to submit any new activity (new protocols, amendments, annual continuations, triennial renewals) via Coeus will be 09/11/24. This will allow the IACUC administrative staff time to get all submissions reviewed and in Active status to make the cut-over to the PERA system easier on the Principal Investigators and the IACUC office.
- There will be a moratorium on submissions to the IACUC Office between 09/12/24 – 10/06/24. It is imperative that those who use animals plan for this moratorium. No submissions will be allowed during this time.
- IACUC will begin accepting and processing new submissions in PERA on 10/07/24.
