This guide shows how to perform key tasks in applying for sponsored funding.

The system supports the application process through a project called a funding proposal (or simply proposal). Proposals go through the following life cycle:

  • PI initiates the proposal by completing SmartForm in PERA Funding Proposal (FP)
  • PI submits FP SmartForm to Pre-award Specialist
  • Specialist communicates with PI to create budget and gather required documents
  • Specialist and PI finalize proposal package
  • PI & CoPI’s certify the proposal package in PERA (Certification will be completed via ancillary review)
  • Pre-Award Specialist submits to Manager
  • Manager reviews and submits proposal to sponsor. Certification will be completed via ancillary review.

Investigators will be completing the steps in these processes.

PERA allows for the system-to-system (or S2S) submission of proposals for Grants.gov sponsors. Applications can be directly submitted from the PERA system to Grants.gov instead of using a separate sponsor system.

Using S2S submission allows Pre-Award to develop and submit the proposal all within PERA instead of entering the proposal once in PERA and again in Grants.gov or the sponsor’s portal.

This streamlines the process, reduces duplicate data entry, decreases errors, and allows full transparency of the application status for the PI.

S2S and SF424 are referenced throughout this guide.

Sufficient time is required to assemble, review, and submit grant applications to meet sponsor requirements. With the growing number of faculty at Purdue that are submitting proposals and the increased sponsor complexities this policy will allow Pre-Award time to adequately support preparation of applications and to thoroughly review applications for compliance requirements. 

The deadline policy applies to all proposals.  Large/complex proposals will be required to follow deadlines established with the Pre-Award Specialist assisting with the submission. The policy includes three stages:

  • Science Stage – 2 days prior to the deadline
  • Initiation Stage – 15 days prior to the deadline
  • Admin Stage – 5 days prior to the deadline
