Intake Processes
Intake of an Award Processes refers to the set of procedures and steps involved in the initial acceptance of a research grant or award. The Post Award Launch team will receive those notifications and route them to the applicable parties. If a signature is required, then Launch will send the award to contracting for review and signature.
Many awards are automatically sent to the intake emails within SPS, but some are received by individuals. When an award notification is received by you from a sponsor funding a proposal, that award notification should be emailed to awards@purdue.edu.

Roles and Responsibilities of the Post Award Launch Team
The Post Award Launch Team plays a crucial role in the transition from award notification to the setup and contracting phases. Below are the roles and responsibilities for handling award notifications. By fulfilling these responsibilities, the Post Award Launch Team ensures a smooth transition from award receipt to project setup and/or contracting review, facilitating effective management and compliance from the outset.
1. Receive Award Notification
- Regularly monitor award notification emails received at awards@purdue.edu and spscontr@purdue.edu.
- Associate Award with Funding Proposal
- Match the award notification with the corresponding submitted funding proposal.
- If there isn’t a funding proposal, the Launch Team will create an Award Only Funding Proposal.
- Update the grant management system with the award details and link to the proposal.
2. Determine Contracting Needs
- Assess if the award requires a review by the contracting team.
- If contracting review is needed, route the award documentation to the contracting team via PERA.
- Use predefined criteria to make this determination.
3. Route and Notify
- Route award and/or award draft to the Post Award Setup team via PERA.
